How Much Do Managed IT Services Cost?

A plain-English breakdown of managed IT pricing models, what drives the number up or down, and what a fair monthly investment actually includes.

The honest answer is that it depends on your environment, and any provider who quotes a firm price before understanding it is guessing. That said, you deserve a real sense of the numbers before you ever pick up the phone. Here is how managed IT pricing actually works.

The short answer

For most small and midsize organizations, fully managed IT commonly lands somewhere between roughly 125 and 250 dollars per user per month, depending on how much security, compliance, and coverage you need. Lighter, business-hours support sits at the low end. IPC's fully managed programs typically land in the 200 to 300 dollars per user per month range, because everything that protects you is already included: 24/7 coverage, layered security, compliance governance, and backup, with no surprise add-ons. Treat that as a sanity check, not a quote.

The more useful question is not the price per user. It is what the fee covers, how predictable it is, and whether it is scoped to your actual environment.

Common pricing models

Providers structure managed IT pricing a few different ways. Knowing the model helps you compare quotes fairly.

Per user, per month

You pay a flat rate for each employee IPC supports, covering every device that person uses. Predictable as your headcount changes, and the most common model for knowledge-worker teams.

Per device, per month

You pay per managed device (workstation, server, firewall). A good fit when device counts, not headcount, drive your support load.

Tiered packages

Good, better, best bundles at set price points. Simple to compare, though you may pay for a tier that does not match your environment exactly.

All-inclusive flat rate

One predictable monthly fee that covers agreed services end to end. The model IPC favors, because it aligns our incentives with your uptime, not your ticket count.

What drives the cost up or down

  • Number of users and devices. The single biggest driver. More people and endpoints mean more to monitor, patch, secure, and support.
  • Security and compliance needs. CJIS, CMMC, HIPAA, or NIST requirements add monitoring, documentation, and controls that a general small business does not need.
  • Environment complexity. On-premise servers, multiple sites, legacy systems, and specialized software all add to what must be managed.
  • Service scope. A full help desk with 24/7 coverage costs more than business-hours support. What you include shapes the number.
  • Onboarding and remediation. If your environment needs stabilizing first, there may be a one-time project before steady-state managed service begins.

What a fair monthly fee should include

Price only means something next to scope. A low number that excludes security or after-hours support is not a deal. At a minimum, a complete managed IT agreement should include:

  • 24/7 monitoring and proactive maintenance
  • Help desk and end-user support
  • Patch management and updates
  • Endpoint security and MFA
  • Backup and disaster recovery
  • Strategic guidance and quarterly reviews

Managed IT costs less than the alternative

The break-fix model looks cheaper until something breaks. One serious outage, one ransomware event, or one failed audit can cost more than a year of managed service. Predictable monthly IT is not just easier to budget. It prevents the expensive surprises that unmanaged environments eventually hit.
